📌 Introduction

To get metadata into the https://covid19initiatives.health-ri.nl/p/ProjectOverview , cedar forms need to be filled in correctly so that the metadata will be harvested into the COVID portal correctly.

Steps to enter your metadata for the Covid Portal

  1. Fill out the Cedar Forms on https://cedar.metadatacenter.org/dashboard?folderId=https:%2F%2Frepo.metadatacenter.org%2Ffolders%2Fe07ef045-bc38-4e9c-a03f-b53a960b3acc

(warning) Important! Make sure to use the latest version of the Covid template, or your information will not be visible on the Covid Portal.

In the COVID-19 Cedar Project space, different forms are grouped in folders by type:

The latest version of a template is always in the root of a corresponding folder:

To populate a template click on the dots menu of the template and select Populate:

That will create an instance of the selected type template you can fill in.

The Project Admin template should be filled in first, it contains basic information about the project. After the form is saved copy the link from the address bar of your browser. The middle part of the link, between /edit and ?folderId=, is your Admin template instance’s id: copy (e.g. to a text editor) and keep it till all the template instances for the project are filled (you’ll need to refer to it later on, see below).

The next template to fill in is Project Content containing extended information about the project. At the end of the form, there is a box to put in the Project Admin template instance reference we have just copied:

For Dataset metadata, there are three types of templates to populate: Distribution, Dataset and Catalog:

Start with the Distribution template, create and fill in instances for each distribution you have in your project. After a Distribution template instance is created and saved copy its ID as you have done for the Project Admin Template. Links to Distribution template instances should be placed in the Dataset template instance in the corresponding box, the form allows the addition of multiple values:

Copy links to Dataset template instances after you save them, those links are used to link everything within the Catalog template. In this template form, you’ll see fields to add a reference to the Project Admin template instance and Dataset template instances:

So in practice:

  1. Select a template by ……

  2. Create the form based on the template by …..

  1. Make sure to enable “Open View” to make your metadata available on Open View:

  • For each of your forms: Go to the three dots on your form → click on option “enable open view”.

  1. Share your forms with ZonMw Covid group in Cedar, and also with Health-RI editors for easier support:

  • Press the 3 dots to open the context menu,

  • Click on the option Share

  • Make sure to share with ZonMw Covid Metadata group as well as Health-RI editors and give them “can write” access so that support will be easier in case of issues:

FAQ

Which of these projects can I also see on the national health data catalogue on healthdata.nl?

The metadata that can be put into the COVID portal can consist of

  • M4M Project Admin

  • M4M Project Content

  • M4M Dataset (Catalogue, Form, Distribution)

M4M Dataset corresponds with the entities that are part of the core metadata required by the national health data catalog. Therefore projects without the Dataset entities will not (yet) be displayed on the national health data catalogue.

How to transfer ownership of my cedar forms?

  1. Make sure that all the documents that you want to transfer are in a separate folder.

  2. For each artifact:

    1. Open the context menu.

    2. Open “Share…”

    3. In the “With people” section, in the text field which says “enter user name” start entering the other person’s name. Once the name shows up, click on it.

    4. Next to this field, in the dropdown select “owner”.

    5. Click on the “OK” below the name.

    6. On the right you will see that the owner has been changed.

    7. You can close this dialog now.

  3. Once all the artifacts are transferred to the other person, share the enclosing folder with write capabilities with the other person.

  4. The other person should log into CEDAR, and click the “Shared with Me” in the left menu.

    1. Locate the folder that was shared with you. Inside of it there will be the artifacts that now belong to you.

    2. For each of them, open the context menu, and using the “Move to…” dialog, move the artifact to a folder under your home directory.
