Description

A data management plan (DMP) is a formal document developed at the beginning of a research project that describes all aspects of the (FAIR) management of the data, both during and after the project.

A data management plan includes:

  • A description of the sources of data, new as well as reused data, including aspects such as versioning, archiving, conditions attached to the use (including towards persons described by the data) and how these will be met, and necessary transformations of data that needed.

  • A description of the format and type of all processed data, and description of how the data and all processing processes are documented.

  • A description of the working methods with the data, such as file names, databases, processing environments that will be used (including security aspects such as who has access to that environment and to the data), tools (including any software management plan), workflow management, backups and archiving.

  • A description of pseudonymization, anonymization and linking processes.

  • A description of retention policy and when data can or should be discarded.

  • A description of where and for how long the data will be stored and archived after the project, and how and under what conditions others will be able to access the (raw as well as processed data), including assigned persistent identifiers at a later stage.

Lifecycle

A data management plan is created at the beginning of a study during the initiation phase during planning.

A data management plan is updated and refined throughout the study to ensure that it accurately represents the practices actually implemented.

A data management plan is concluded as soon as the research result has been published and the research data has been managed.

A data management plan follows the guidelines of a financier (who wants to be able to verify that the investment in data delivers as much value as possible, for example through reusability) and of a research institute (who wants to guarantee that the research conducted is reproducible).
